Set up your team for booking

Give your assistant the team, people, services and hours it needs to find appointment times.

Before you start

Connect your assistant and sign in first. Setup happens through Sedule’s MCP tools in your conversation. There is no scheduling dashboard to configure.

Creating a team requires a verified email address and the sedule:admin permission. Managing providers, services and hours requires an owner or admin role in that team as well as the relevant permission. If you already belong to a configured team, start by asking what is available.

1. Choose your team and timezone

Ask your assistant to list your teams, then name the one you want to use. Each team-scoped tool call identifies the team; your assistant must keep that context when making changes.

For a new team, supply a name and an IANA timezone, such as Europe/Vienna. Choose it explicitly: a new team defaults to UTC when no timezone is supplied. Review the team returned by the assistant before continuing.

2. Add the person delivering the service

A provider is the person whose time is being booked. Give the provider a name and timezone. A team member and a provider are different records: inviting someone to a team does not by itself configure a bookable schedule.

Ask your assistant to check for an existing provider before creating another. Staff booking permissions depend on the providers linked or assigned to their membership.

3. Create and link a service

Create a service with a clear name and duration, for example “Consultation” lasting 30 minutes. Link it to the provider who delivers it. A service without a provider link cannot offer that provider’s time.

4. Set hours and breaks

Set the provider’s working hours and breaks in the provider’s timezone. Add date-specific exceptions or unavailable periods when the usual week does not apply. Review minimum notice and booking-horizon settings so the date you plan to request is inside the permitted window.

For my Demo Studio team, help me configure Alex as a provider in Europe/Vienna, a 30-minute Consultation linked to Alex, and Monday–Friday hours of 09:00–17:00 with a 12:00–13:00 break. Show the proposed changes before applying them.

5. Check readiness

  1. Confirm the team, service, duration and provider link.
  2. Check the provider’s timezone, hours and any exceptions.
  3. Ask for availability on a specific date inside the booking window.
  4. Review the returned times and timezone before requesting an appointment.

If setup changes affect existing appointments, review the affected appointments your assistant reports. Changing hours or archiving a service does not automatically move those bookings.
